Frequently asked questions

What people ask us most before they start.

Small and midsize Texas businesses, like restaurants, service companies and contractors, that want their accounting, payroll, inventory, customers, point of sale and reservations in one place.

You do not need one: the Core plan is free forever, with manual entries, basic reports and receipt photos. When you need more, upgrade your plan or add modules.

Yes. Import your journal history as a CSV, or upload your profit and loss and balance sheet as a photo or PDF and the app builds your opening entries and a summary for each month. A journal import can be undone in full. Importing is part of the Pro and Business plans; opening balances by hand work on any plan.

It e-files the 941, the 940 and W-2s from the app. It works out your federal deposits and their due dates so you pay them in EFTPS, and builds the TWC wage file for you to upload. Paychecks and their stubs print from the app. Texas has no state income tax on wages.

It runs on your team’s phones, with no required hardware: the server opens the table, the order shows up on the kitchen screen, and the bill is paid in cash or with the QR code on the customer’s phone. It needs an internet connection and the Accounting Pro or Business plan. The card reader comes later.

No. Your team uses their own phones, the kitchen sees orders on a tablet or a TV, and guests pay from their phone with the check’s QR code or in cash. The card reader is optional and comes later.

Yes. If you ring up sales on another system, you subscribe to reservations only and get all of it: the book by hour and by table, the online booking page, the waitlist with the door QR code, and the email confirmation and reminder. They need the Accounting Pro or Business plan. With our point of sale, seating the party opens their table’s check.

Each card payment, on a CRM invoice or with the point of sale QR, carries a single transaction fee that comes out of what you collect and is recorded as an expense. The money lands in your business’s Stripe account, and the fee is listed on the Pricing page.

With Plaid: your bank username and password go to Plaid, not to LedgerFit, and your transactions land in an inbox for you to review and post. If your bank does not connect, import your statement as a CSV. Both options are part of the Pro and Business plans.

Sensitive data, like Social Security, tax ID and bank account numbers, is stored encrypted. Arva works with your books without receiving those numbers or biometric data, and you can turn on two-step verification. The details are in the Privacy Policy.

Yes, and they do not count as a user. Invite them from Settings, Team and roles, with the CPA role, which can view your books, reports, documents and audit log, and export, without changing anything.

Yes. One organization holds several businesses, each with its own books, and your team only sees the ones they work in. The Pricing page shows how many businesses each plan includes.

Yes. Each person picks English or Spanish, and their screens, reports and emails come in that language.

LedgerFit runs in your phone’s browser and you can install it on your home screen like an app.

Yes, from the app. Cancellation takes effect at the end of the paid period and there are no partial refunds. If you downgrade, nothing is deleted: whatever no longer fits becomes read-only and you can export it.
