SMS Consent Policy

1. What messages are sent

LedgerFit (app.ledgerfit.pro) is a business management platform used by small businesses. On behalf of those businesses, LedgerFit sends transactional SMS messages to their customers: invoice payment links, payment confirmations, appointment reminders, and restaurant reservation and waitlist notices (reservation confirmation, reminder and cancellation, and "your table is ready"). Promotional messages from a restaurant are a separate program: they are sent only to customers who checked a separate, unchecked-by-default promotional checkbox (section 2.3), never on the basis of the transactional consent above.

2. How consent is collected (opt-in workflow)

Consent is collected in one of two ways: directly by the business from its own customer at the point of service (sections 2.1 and 3), or by the customer themselves on the business's online reservation or waitlist page (section 2.2).

2.1 Collected by the business. For invoice, payment and appointment messages:

  • The customer provides their mobile phone number to the business verbally or in writing when hiring or scheduling a service, and agrees to receive service-related text messages (invoices, payment confirmations, appointment reminders).
  • A staff member of the business records the phone number in the customer's contact card inside LedgerFit. Recording a phone number is the business's attestation that the customer agreed to receive these transactional messages.
  • SMS messages are only ever sent to phone numbers stored on a customer's record, and only in relation to that customer's own invoices, payments, or appointments.

2.2 Checked by the customer on a web form. For restaurant reservation and waitlist messages, consent is given by the customer directly on the restaurant's public reservation page or waitlist page hosted by LedgerFit:

  • The form shows a checkbox that is unchecked by default and is never required to complete the reservation or join the waitlist. Its label reads: "I agree to receive text messages about my reservation (confirmation, reminder, changes). Message and data rates may apply. Reply STOP to opt out." (the waitlist version names the waitlist confirmation and the "table is ready" notice), with a link to this policy.
  • If the customer leaves the box unchecked, no text message is sent: the same notices go by email only. If the customer checks it, the date and time of that consent are stored with the reservation, and only the messages named in the label are sent to the phone number the customer typed on that same form.
  • Reservations entered by restaurant staff (for example, taken over the phone) carry no consent and never receive text messages.
  • Reminders and restaurant-initiated cancellation notices are not sent between 9:00 pm and 8:00 am in the restaurant's local time; a confirmation of what the customer just requested and the live "table is ready" notice are sent when they occur.

2.3 Promotional messages (separate opt-in checked by the customer). A restaurant may send promotional text messages only to customers who opted in on their own device, on one of the restaurant's public pages hosted by LedgerFit (the online reservation page, the online ordering page, or the page that opens when the customer scans the QR code to pay their check), or who told a staff member in person and the staff member recorded it on the customer's loyalty record:

  • The promotional checkbox is separate from the reservation-notice checkbox and from the email checkbox, unchecked by default, and never required to reserve, order, pay or join the loyalty program. Its label reads: "I agree to receive text messages with promotions from the restaurant. Message and data rates may apply. Reply STOP to stop receiving them.", with a link to this policy.
  • When checked, the date and time, the page where it was checked and the version of the label text are stored on the customer's record for that restaurant. Each restaurant holds its own consent: opting in on one restaurant's page does not opt the customer in anywhere else.
  • The customer can turn promotional texts off at any time from their loyalty page ("my points"), with a one-click "do not contact me" option, or by replying STOP; the restaurant can also mark the customer as "do not contact". Turning promotions off never affects reservation or order notices, which have their own consent.

3. Verbal consent script

When consent is collected verbally, the business reads the following script to the customer and only records the phone number after an affirmative answer. The Spanish version below is used with Spanish-speaking customers and carries the same disclosures.

"Would you like to receive text messages about your invoices and appointments? You will get messages such as payment links, payment confirmations and appointment reminders, sent by LedgerFit on our behalf. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help. Our terms are at ledgerfit.pro/legal/terms and our privacy policy at ledgerfit.pro/legal/privacy. Do I have your permission to text you at this number?"

4. Opt-out and help

  • Every message program supports the standard keywords: reply STOP to opt out at any time and HELP for assistance.
  • Opt-outs are honored automatically at the messaging-provider level; a customer who opts out receives no further messages unless they opt back in.

5. Message frequency and rates

Message frequency varies with the customer's activity with the business (typically a few messages per month). Message and data rates may apply, charged by the recipient's carrier.

6. Privacy

Phone numbers are used solely to deliver the transactional messages described above and, only with the separate opt-in of section 2.3, the restaurant's own promotional messages. They are never sold or shared with third parties for marketing. See our Privacy Policy at https://app.ledgerfit.pro/legal/privacy and Terms of Service at https://app.ledgerfit.pro/legal/terms.
